Position: Administrative Assistant

  • Provide secretarial and administrative support to the executives, sales team, marketing team and project managers
  • Handle the paper applications and follow up with related parties for updates
  • Handle all in & out coming inquiries and general email account, disseminating inquiries to the appropriate individual in a timely fashion
  • Maintain and grow online presence; including social media monthly e-Newsletters, blast emails, Instagram, Twitter, Facebook, WeChat and basic website management
  • Coordinate calendar management personnel through Gmail
  • Tracks and ordering office and kitchen supplies
  • Courier documents and daily bank deposit
  • Assists office staff in maintaining files and databases
  • Update and Maintain client database regularly
  • Frequent communication with clients to understand their needs, develop relationships with executives’ clients
  • Arrange catering for meetings, organize client appreciation events, and miscellaneous other events, etc.
  • Working on weekends or late evenings may be required during peak season and occasional special event
  • Perform other duties as required

Skills & qualifications' T5 r. d3 K( {5 }! E

  • Strong interpersonal and communication skills (including oral, written and visual), a bilingual person who speaks Mandarin and has a background in sales would be a definite asset
  • Strong organizational and time management skills; the ability to multi-task and meet deadlines
  • Accuracy and attention to detail
  • Ability to establish and maintain effective working relationships internally and externally with staff, Board of Directors, volunteers, suppliers and community partners
  • Anticipate and proactively act on internal and external clients/customers’ needs
  • Ability to function successfully both independently and within a team
  • Must have a valid driving license and car and be able to drive in the GTA
  • Ability to work creatively and analytically in a problem-solving environment
  • Proficient in Microsoft office, excel and outlook, knowledge of Photoshop is an asset
  • Able to work well under pressure and meet conflicting demands and tight deadlines
  • Experience/knowledge of foundation, corporate, individual and special event planning and fundraising considered an asset
  • The successful candidate must meet the security requirement of the position and be legally able to work in Canada.
